AnswerPet is an AI receptionist for veterinary clinics. This site and the AnswerPet service are operated by the company below, which is the data controller for the personal data described in this policy.

Throughout this policy, “we”, “us”, and “AnswerPet” mean MONARCH SOLUTIONS SRL. Because we are established in Romania, our processing is governed by the EU General Data Protection Regulation (GDPR) and applicable Romanian law.

We only collect what we need to answer your questions and show you the product. That falls into a few groups.

Information you give us

• Demo requests. When you open the demo or book a call, you give us your clinic name, phone number, and email address.
• Demo conversations. If you chat with or speak to the demo assistant, we process the messages you type and, in voice mode, your audio and its transcript for the length of that session.
• Direct messages. Anything you send us by email or include when scheduling a call.

Information collected automatically

• Usage analytics. Aggregate, privacy-first measurements such as page views, referring site, approximate region, and device type. Our analytics are cookieless and do not build an advertising profile of you.
• Technical logs. Standard server and security logs, including IP address and browser type, kept briefly to keep the site reliable and secure.

We do not knowingly collect personal data from children, and the service is intended for veterinary professionals, not the general public.

We use the information above to:

• set up and run your demo, including a sample phone number for your clinic;
• reply to you, schedule the call, and follow up about AnswerPet;
• operate, secure, and improve the site and the demo experience;
• understand, in aggregate, which pages and messages are useful; and
• meet our legal, accounting, and tax obligations.

We do not sell your personal data, and we do not use the contents of your demo conversations to train third-party AI models.

Under the GDPR, we rely on the following legal bases:

• Your consent when you submit the demo form or start a voice or text conversation. You can withdraw it at any time.
• Legitimate interests in responding to enquiries, securing the site, and measuring traffic in aggregate, balanced against your rights.
• Performance of a contract or steps taken at your request before entering one, such as arranging a demo.
• Legal obligation where we must keep records for tax or accounting purposes.

We share personal data only with service providers who help us run AnswerPet, and only as needed. Each acts as our processor under a contract that limits how they may use your data:

• Vapi— powers the voice and text demo assistant, processing your messages, audio, and transcripts during a session.
• Resend— delivers the email that carries your demo request to our team.
• Cal.com— handles demo scheduling when you book a call.
• DataFast— provides cookieless, aggregate website analytics.
• Our hosting and infrastructure providers— serve the site and store logs.

We may also disclose information where required by law, to protect our rights, or as part of a business transfer, in which case we will let affected users know.

Some of our providers process data outside the European Economic Area, including in the United States. Where that happens, we rely on safeguards recognized under the GDPR, such as the European Commission’s Standard Contractual Clauses or an adequacy decision, so your data keeps an equivalent level of protection.

We keep personal data only as long as we have a reason to:

• Demo and contact details for as long as we are in touch about AnswerPet and for a reasonable follow-up period afterward.
• Demo conversations for a short period to operate and improve the demo, then deleted or anonymized.
• Analytics in aggregate form, which is not tied to you as an individual.
• Records we must keep by law for the period the relevant tax or accounting rules require.

Under the GDPR, you have the right to:

• access the personal data we hold about you;
• correct data that is wrong or incomplete;
• have your data deleted;
• restrict or object to certain processing;
• receive your data in a portable format;
• withdraw consent at any time, without affecting earlier processing; and
• lodge a complaint with a supervisory authority. In Romania, this is the National Supervisory Authority for Personal Data Processing (ANSPDCP).

To exercise any of these, email hello@answerpet.com. We respond within the time the GDPR allows, normally one month.

We keep tracking to a minimum. Our analytics are cookieless and do not place advertising or cross-site tracking cookies on your device. We use only what is needed for the site to work and to measure traffic in aggregate.

If we ever introduce cookies that require consent, we will ask for it through a clear banner before they are set.

We use appropriate technical and organizational measures to protect personal data, including encryption in transit, access controls, and trusted providers. No method of transmission or storage is perfectly secure, but we work to keep your information safe and to act quickly if something goes wrong.

We may update this policy as the product or the law changes. When we make a material change, we will update the effective date at the top and, where appropriate, let you know directly. Questions about this policy or your data are welcome at any time.
